The Office Manager plays a key role in supporting executive leadership and ensuring smooth daily operations within the Knoxville office. This position provides direct assistance to the CEO, CFO, and HR department, manages administrative and operational functions, coordinates company travel, and oversees office and facility upkeep. The ideal candidate is proactive, adaptable, detail- oriented, and thrives in a fast-paced environment. The Office Manager must demonstrate strong communication skills and the ability to collaborate effectively with team members and leadership across multiple departments
 

Key Responsibilities

Executive Support (CEO)

  • Provide direct administrative assistance to the CEO, including scheduling meetings, preparing updates, managing calendars, and completing assigned day-to-day tasks.
  • Assist with communication, follow-ups, and coordination of projects involving multiple departments.
  • Maintain confidentiality and handle sensitive information with discretion.
 

Financial Support (CFO)

  • Assist the Finance Department with Accounts Receivable (AR) tasks including invoicing and customer reconciliation.
  • Support overdue AR collection efforts by maintaining communication with Tomcat's customer service department to reconcile Accounts Receivable records.
  • Assist Sales Department with credit card transactions.
  • Coordinate monthly employee expense reports including monitoring allowed costs and entering data in ERP.
  • Assists in filing of financial records as needed.
 

Human Resources Support (HR)

  • Collaborate with HR to coordinate team-building activities, employee engagement initiatives, and internal company holiday events.
  • Provide logistical support for HR communications, meetings, and special projects.
  • Support HR and other assigned responsibilities.
 

Office & Facilities Management

  • Maintain office and warehouse supply inventory, ensuring adequate stock and timely reorders.
  • Coordinate janitorial services, maintenance, and repairs to ensure a clean and safe workspace.
  • Oversee vendor relationships related to office and building operations.
 

Travel Coordination

  • Arrange company travel including flights, hotels, rental cars, and meeting spaces for employees and executives attending company events or business trips.
  • Track and process travel expenses and ensure all required documentation is submitted accurately and on time.

Qualifications

  • Minimum 5 years of experience in office administration, executive assistance, or related field (manufacturing or corporate environment preferred).
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Exceptional communication and interpersonal skills.
  • Fluent in English (verbal and written).
  • Ability to prioritize tasks and adapt to a fast-paced, changing environment.
  • Professional, dependable, and collaborative team player.

Compensation

Salary Range:

  • $53,000 – $58,000 annually for candidates with 5+ years of directly related experience and proven multi-departmental support (executive, financial, and HR).
 
This is a full-time, hourly position eligible for overtime pay. Compensation will be determined based on skills, prior experience, and overall fit for the role.
